Publication Items
A Publication Item is a single piece of output inside a Publication — for example, one page, one spread (two facing pages), or one digital asset such as a banner.
What a publication item is made of
- Template — the Template used to generate this item's layout.
- Content — the material placed on the layout: Briefing rows (Campaign Items, and through them Products and Assets), Assets placed directly, or layout notes.
- Files — the generated thumbnail, preview, export, and source files for the item. These are generated separately per Variant when a publication uses more than one.
- A human-readable item ID, and, for spreads, its page numbers.
Moving through the workflow
A publication item doesn't have a single fixed "status" field. Instead, its progress is tracked by:
Step — which step of the publication's Workflow the item currently sits in (for example, Briefing, Layout, Review, Delivered). Which steps a user can access or act on depends on their role's permissions.
Sign-off — a list of users who have approved the item. A user can only sign off on an item once. Whether existing sign-offs are cleared when an item is updated depends on how your team's workflow is configured: a transition (for example, one that regenerates an item's layout) can include a step that removes all existing sign-offs, but this isn't automatic — it only happens on transitions your team has set up to do so. Relayter doesn't show a specific warning that approvals will be removed before running such a transition, so check with whoever configured your workflow if you're unsure.
Content and file history — every meaningful change to an item's content or files is kept as a numbered revision (v0, v1, v2, ...), so you can see how a layout or its exported files changed over time.
Comments and annotations
Reviewers can leave Sticky Notes directly on a publication item's preview — pinned comments with a status (for example new, approved, or rejected) and a reply thread. These appear in the item's sticky note panel during review.
Delivery and export
A publication item's finished files can be:
- Exported as part of a Package (for example a merged PDF or a custom export bundle), created from the campaign's Packages tools.
- Shared via a time-limited download or upload link, generated from the workflow (used to send files to, or collect files from, people outside Relayter).
