Manage Data Fields
Data Fields and Forms are custom fields that collect information for Briefings, Products, and Assets. Each context (Briefing, Product, Asset) has its own separate set of custom fields. Administrators configure these fields to match their data model.
Available field types
When you create a data field, you can choose one of these types:
- String — text field for short text values
- Number — numeric field (can optionally format as currency)
- Date — date picker field
- Boolean — yes/no toggle field
- Enumeration (item list) — dropdown field with predefined options (can allow single or multiple selections)
- List — field that accepts multiple text values
Each field type can be configured with additional options like appearing in filters or enabling autocomplete for string fields.
Create a custom data field for Briefings
- Go to Settings → Data Management → Briefing data.
- Select the Data fields tab.
- Click Add data field.
- Enter a name for the field and select a data type.
- Configure optional settings:
- Currency formatter (for Number type) — displays the number as currency
- Items (for Enumeration type) — enter each option on a separate line
- Multi select (for Enumeration type) — allows selecting multiple options
- Show in filter — displays this field as a filter option
- Enable variants (for Briefing/Publication Items only) — allows the field to have different values for each variant
- Enable autocomplete (for String type) — shows previous values as suggestions
- Click Save.
Create a custom data field for Products
- Go to Settings → Data Management → Product data.
- Select the Data fields tab.
- Click Add data field.
- Configure the field using the same process as Briefing fields (note: variants are only available for Briefing fields).
- Click Save.
Create a custom data field for Assets
- Go to Settings → Data Management → Asset data.
- Select the Data fields tab.
- Click Add data field.
- Configure the field using the same process as Briefing fields (note: variants are only available for Briefing fields).
- Click Save.
Edit a custom field
- Go to the appropriate Data Management section (Briefing, Product, or Asset data).
- Select the Data fields tab.
- Find the field in the table and click the Edit action button.
- Update the field configuration. Note that the field type cannot be changed after creation.
- Click Save.
Reorder fields
You can change the order in which fields appear in forms by using the move buttons:
- Go to the appropriate Data Management section.
- Select the Data fields tab.
- Click the Move up or Move down action buttons next to a field to reorder it.
Delete a custom field
When you delete a field, all data stored in that field is permanently deleted and cannot be recovered. However, if a field is in use by filters, workflows, content rules, or other features, the system will prevent deletion and show you which features reference it.
- Go to the appropriate Data Management section.
- Select the Data fields tab.
- Click the Delete action button next to the field.
- If the field is not in use, confirm the deletion.
- If the field is in use, the system will show you the features that reference it. Contact Relayter Customer Support if you need to proceed with deletion despite these references.
