Troubleshoot a Blocked Publication Item
If a Publication Item won't move to the next Workflow step, try these steps:
Check required data
- Review the item's required fields (marked with *).
- Fill in any missing required information.
- Try moving the item to the next step again.
Check assignments
- Verify the item is assigned to the correct user or team.
- If the item should be reassigned, update the assignment.
- Try moving the item again.
Check sign-off or approval requirements
- Some workflow steps require sign-off or approval before items can move forward.
- Check if the item has been reviewed and signed off by the required people.
- If you're waiting on approval, contact the appropriate reviewer.
Check workflow transitions
- The current step may not have a transition to the next step.
- Ask your administrator to verify the workflow is configured correctly.
- You may need to move the item through intermediate steps.
Check workflow step permissions
- You may not have permission to transition items in this workflow step.
- Ask your administrator which permissions you need.
- If you need permission, ask them to grant it.
Check if the item is currently being processed
Publication items cannot move to the next workflow step while they're being processed. This can happen when:
- An item is queued for processing (waiting to run a workflow transition).
- An item is currently being processed in the background (generating output, exporting, or running other workflow actions).
If you see this issue:
- Wait for the current processing to complete before trying to move the item.
- Check if there are any workflow transitions or actions currently running on the item.
- If processing appears to be stuck, contact your administrator.
Check content or data issues
- Verify all content is valid (images are not corrupted, text is complete, etc.).
- If there are issues with the generated output, fix them and regenerate if possible.
Contact your administrator
If the item is still blocked:
- Note the item name and which step it's stuck in.
- Contact your team administrator with this information.
- They can check the workflow configuration and permissions.
