Create a Workflow Automation

Workflow Automations automatically generate Publication Items from a Campaign Briefing based on rules you define. Creating an automation is a two-step process: first you create the automation itself, then you add rules to it.

Create an automation

  1. Go to WorkflowAutomations.
  2. Click Add automation.
  3. Enter the following details:
    • Name — a descriptive name for the automation
    • Tags (optional) — organize automations by category or topic
    • Description (optional) — explain what this automation does
    • Skip duplicate publication items — check this if you want to prevent generating duplicate publication items with the same content
  4. Click Save.

Add automation rules

Once you've created an automation, you add rules to define which briefing items should generate publication items and which template to use.

  1. From the Automations list, click the automation you just created.
  2. Click Add automation rule.
  3. Configure the rule:
    • Name — a descriptive name for this rule
    • Template — select which template to use for publication items created by this rule
    • Create publication items without matches — check this if you want to always create a publication item using this template, even when no briefing items match the conditions below
    • Publication item creation setting — choose how to create publication items:
      • Create one publication item per matching briefing item (default)
      • Create one publication item and assign all matching briefing items to it
  4. Click the Conditions tab and define which briefing items should trigger this rule (e.g., "only where [field] equals [value]").
  5. Click Save.

Edit an automation or rule

  1. Go to WorkflowAutomations.
  2. Find and click the automation you want to edit.
  3. To edit the automation itself (name, description, tags, or duplicate settings):
    • Click Edit or the settings icon
    • Update the fields
    • Click Save
  4. To edit a rule:
    • Click the rule in the table
    • Update the name, template, conditions, or creation settings
    • Click Save

Delete an automation or rule

  1. Go to WorkflowAutomations.
  2. Find and click the automation.
  3. To delete the entire automation:
    • Click the delete button (trash icon) next to the automation name
    • Confirm the deletion
  4. To delete a single rule:
    • Find the rule in the table
    • Click the delete button (trash icon) next to it
    • Confirm the deletion
